How to rename downloaded files in 3 steps

Open your Downloads folder and select

On Windows, open File Explorer and navigate to Downloads. On Mac, open Finder and go to Downloads. Select the files you want to clean up and drag them directly into the browser drop zone. Works with PDFs, images, documents, and any other file type you download.

Choose a rename style for your files

Use Clean to remove download counters and junk like "(2)" and "download-". Use Dates First to prefix with today's date so downloaded files sort chronologically. Use Business Docs for downloaded invoices and reports. Write a Custom template with a source or project name.

Download ZIP, move files where they belong

Extract the ZIP and move the renamed files to the right folder. Downloaded invoices go to your Finance folder. Downloaded photos go to your Photos folder. Every file has a name that tells you where it belongs, so you never have to open a file to figure out what it is.

"My Downloads folder had four years of files named document(3).pdf and download-1.zip. I dropped everything in, used Business Docs preset, and the whole mess became organized and labeled in minutes. I can actually find things now."

"I download bank statements and invoices every month and they always arrive as statement_2026.pdf or invoice-a4f3b.pdf. This tool renames them all to Invoice_BankName_YYYYMMDD in one go. My accountant appreciates the consistent naming at year end."

"I download research papers from multiple databases and they all use different naming conventions. Some have DOIs as names, some have author-year codes, some are just PDF(1). The clean preset strips all the junk and leaves a readable title from whatever was sensible in the original."

"I download product images from supplier portals constantly and they come with random codes as filenames. Before uploading to our Shopify store I drop them all here and the Product Images preset gives me product-name-001.jpg format. Way faster than renaming in the product editor."

"I download software documentation, manuals, and release notes from vendor portals. The files arrive with unhelpful names like doc_v3_FINAL_export.pdf. The Clean preset removes the noise and leaves something readable. Then the Dates First preset adds when I downloaded it."

"I download client photos from WeTransfer and they arrive named IMG_3847.jpg from whoever sent them. Batch renaming before moving them to the project folder keeps everything organized from the start. The Photos preset with a custom client name prefix does it perfectly."

"I download financial reports quarterly and they always come named report_export_Q42025_v2_FINAL.pdf. Clean preset strips all the noise and leaves something readable. The Dates First preset adds when it was published. Two presets and the Downloads folder makes sense again."

"I study online and download lecture slides, readings, and assignment briefs from multiple learning platforms. Each platform uses a different naming format. I run everything through the Clean preset monthly and my study folder stays navigable throughout the semester."

"I download news clips and audio files for podcast production. They come from RSS feeds, email, and FTP all with different naming conventions. Batch renaming before import into my DAW keeps the project organized. The Professional preset gives consistent Title_Case names that sort well in the file browser."

FAQ

Renaming downloaded files, answered

Downloaded filenames are set by the web server, not your browser or your device. Servers name files based on their internal ID, the URL path, or whatever the developer happened to call the file in the system. When multiple files share a name, browsers add a counter like (2) or (3). None of that reflects what the file actually is.
On Windows, open File Explorer, navigate to Downloads, select all files with Ctrl+A, and drag them into the browser drop zone. On Mac, open Finder, press Cmd+A in your Downloads folder, and drag the selection into the browser. Then pick a rename preset, generate names, and download a ZIP of all the renamed files.
Yes. Drop your downloaded PDFs into the tool and pick a preset. Business Docs detects invoice, contract, and report keywords from the existing filename and reformats them with a date. Clean removes junk like "final_v2" and download counters. The PDF content itself is never read or modified, only the filename changes.
Drop the file into the tool and select the Dates First preset. It automatically prepends today's date in YYYY-MM-DD format to every filename. If a date already exists in the filename (like a publication date) it is extracted and standardized rather than replaced with today's date. For a custom format, use the Custom preset with a {date}_{name} template.
For most downloaded documents the most useful format is Category_Description_YYYY-MM-DD. This immediately tells you what type of file it is, what it contains, and when it was downloaded or published. For invoices and receipts specifically, Invoice_Vendor_YYYYMMDD is the clearest format for later searching and sorting.
No. The filename is just a label. Renaming a PDF, image, ZIP, or any other file never affects its internal data, digital signature, compression, image quality, or any other property. The content is completely untouched. You are only changing the text string that appears as the filename in your file manager.
The most effective approach is a regular cleanup routine. Once a week or month, drop everything from Downloads into this tool, apply a rename preset, and move the renamed files to the appropriate project or archive folder. Files with meaningful names are far easier to sort and much less likely to get lost. See our guide to automatic file organization for a complete workflow.
